Cancellation Policy

How to cancel

An organisation owner can cancel from Settings → Subscription within Kinetiq Tec Clinic, in two clicks, with no questions asked and no retention incentives shown. Cancellation is processed through Base44 Payments. You may also request cancellation by contacting us.

Cancellation at period end

The default cancellation turns off automatic renewal, so your subscription stays active until the end of the current billing period you have already paid for, then ends naturally. You will not be charged for the next cycle.

Your 14-day withdrawal right

If you subscribe as a consumer, EU and Dutch law gives you the right to withdraw from the contract within 14 days of concluding it, without giving a reason. If you expressly asked us to begin the service during that period and the service was fully delivered, the right lapses for the part already delivered — we will always tell you this before it applies. To withdraw, contact us through the Contact page before the 14 days end; we will confirm by email and refund amounts paid for services not delivered.

Immediate cancellation

In some cases immediate cancellation may apply if the subscription is not eligible for renewal-based cancellation. Access then ends from the cancellation date. No further charges are made.

Access after cancellation

Where you cancel at period end, access continues through the end of your paid billing period. After the period ends, active use of Kinetiq Tec Clinic becomes restricted.

Your data is preserved

• Cancelling or expiring never automatically deletes patients, appointments, clinical notes, documents, rehabilitation plans, invoices or staff history.
• Subscription controls access, not ownership or destruction of data.
• Administrators can continue to view data subject to their role and applicable retention requirements.
• You can reactivate your subscription at any time to restore full active use.
• You can request deletion of your data at any time through the Contact page, subject to legal retention obligations — see our Privacy Notice.

Refunds

Subscriptions are charged in advance for each billing cycle. Refund eligibility: if you withdraw within your 14-day statutory right, we refund amounts paid for services not delivered. Cancellations after the withdrawal period take effect at period end and the period already paid is not refunded. If you believe a charge was made in error, contact us to review it.

Expired subscriptions

When a subscription ends or expires, Kinetiq Tec Clinic enters a restricted mode: active operational use is paused while your data remains preserved. Reactivating a subscription restores full access.
